What custom software actually costs in the UAE

What actually moves the number, how the quote works, and the honest cases where you should buy something off the shelf instead of calling us.

The first question every business owner has is "what does this cost", and the honest answer is that it comes from the scope rather than from a list. Two companies asking for the same thing in the same words routinely need different software, because what it has to talk to and what it replaces are different — so we quote per project instead of publishing a ladder that would be wrong for one of them.

What follows is the part that is genuinely useful before a call: what moves the number, what the monthly fee buys, and when you should not build at all.

Bilingual English and Arabic with full right-to-left layout is included whatever the scope. We do not price it separately, because we do not build the other kind.

What moves the number

  • How many departments share one data model — two departments is not twice one, it is the integration between them
  • Whether field staff need their own app, offline, on a phone
  • Whether customers or owners get a portal of their own
  • Migration — how much history has to come across, and what state it is in
  • Integrations with banks, WhatsApp, government portals or existing accounting

Migration is the one that surprises people. Moving ten years of records out of a spreadsheet where the same customer is spelled four ways is not a data task, it is a decision task, and the decisions are yours to make. We can do the work; we cannot guess which of the four spellings is the real company.

What the monthly fee is, and is not

It buys hosting, updates, monitoring and somebody answering the phone. It is not a licence to keep using your own software. You own the system — the code, the data, and the accounts it runs on. You can stop the care plan in any month and keep everything.

This is the main structural difference from a SaaS subscription, and it is worth doing the arithmetic on. A per-seat product at $40 per user per month across 25 staff is AED 44,000 a year, forever, and rising with headcount. A one-time build plus a care plan crosses over somewhere in year two or three, and after that you are not paying for the software again.

When you should not build

If what you need is email, accounting, payroll or a general CRM used the way everyone else uses it, buy it. Those markets are mature, the products are cheap, and a custom version would be worse and cost more. We will tell you this on the call rather than take the work.

Building is worth it when the way you work is the thing that makes you money and no product models it — when your team is holding the real process together in a spreadsheet beside the software you already pay for. That spreadsheet is the specification, and it is usually the clearest brief a client ever gives us.

How to get a number for your case

Describe what breaks — on the closing panel of the homepage, on WhatsApp, or in thirty minutes on a call. What comes back is a written scope: what gets built, what it replaces, what deliberately stays manual, and one fixed figure with its payment stages. It moves only if you move the scope, and then in writing again.
